Donated Technology
Procedures
From time to time, individuals and organizations have donated
used technology to the district. In most cases, the equipment
donated is in a state of repair that makes accepting it
unadvised. Therefore the Technical Services department has set
procedures in place that all technology donations follow the
below guidelines.
The Peninsula School District maintains/repairs all PSD owned
computer products. Donated computer systems and related
technology peripherals will be required to meet the following
standards for acceptance. These standards are based off of the
"Standards Based Computer" guidelines set forth by the State
Office of the Superintendent of Public Instruction at the

Minimum Guidelines:
Generally, standard represents a 4-year old or
newer computer. The metric is processing power. So, school
laptops or desktop PCs must be built with this processor level
or higher.
- Intel or AMD based Pentium IV 2.4 GhZ or higher dual core
desktop (Celeron 2.8 GhZ or higher).
- 2.0 GhZ or higher laptop.
- Mac G5 2.1 GhZ or higher desktop.
- Mac G4/G5 1.9 MhZ or higher Powerbook/iBook/MacBook.
Due to our current maintenance capabilities, we are only
accepting computers that have been manufactured by Dell Computer
Corp, and Apple Inc.
At this time we will not be accepting any printer donations.
Printers come with many hidden maintenance costs, and due to
this it is fiscally irresponsible to accept any printer
donations at this time.
Donation of computer equipment:
- Prior to accepting the donation, have the donor contact
Technical Services. Technical Services will contact the
school if a donation appears to meet the minimum
requirements and arrange for its receipt. Do not accept
equipment without the preliminary approval from Technical
Services. Equipment accepted by buildings prior to approval
may be held responsible for any associated disposal costs.
After accepting the donation, it becomes district property.
- The donation will be assessed by Technical Services. It
must be in good working condition and have all the parts to
comprise a complete system.
If compatible, the equipment will be configured to meet the
district's current minimum standard as above and processed
to the school as indicated in the procedures below.
- If the donation fails to meet the standard, Technical
Services will provide a quote for necessary updates which
could include software licensing fees and hardware upgrades.
The school may decide to commit to upgrading, using building
funds, so that the donation can be accepted and placing at
the school. Otherwise, Technical Services will surplus or
"part out" the donation using district surplus policies and
procedures.
Donation Procedure:
- Prior to
accepting a donation, contact Technical Services for preliminary
approval.
- Donations must meet all of the above specified donation criteria
to be placed at the school.
- Requests for the donated equipment must go through the Director
of Technical Services, or the Technical Support Supervisor.
Procedures after donation has received initial
approval:

Once the equipment
is received, the school will transport the item to Technical
Services if it was not delivered directly.

Equipment must pass a hardware inspection by the Technical
Services department.

Donations of equipment/materials exceeding $5000.00 in value
must be approved by the school board. Donations with a value
of $1000.00 - $4,999.99 must be accepted by the
Superintendent. District staff members must not state a
value nor guarantee how long it will be used in the
district.

Once the equipment has passed inspection, upgrading, or
testing, the item will be added to the school's inventory
and a district inventory tag will be generated. Technical
Services staff will affix the inventory tag and brand the
equipment.

The Technical Services Department will notify the school who
will be responsible for sending a thank you letter
acknowledging the donation on school letterhead to the
donor.
